The Office of the City Clerk has an important function at the City of Vaughan – have you ever wondered what duties they perform or services they provide? As part of a new series, the City is showcasing the vital work undertaken by this busy team. Next up: Enterprise Information Management Services. 

Enterprise Information Management Services, previously known as Archives and Records Management, oversees one of the most strategic functions of the Clerk’s Office – providing the guidance and tools required to manage the City’s information in a secure and accessible manner. This team is committed to providing governance and services that help support City programs and service delivery; foster informed decision-making; facilitate accountability, transparency, and collaboration; and preserve and ensure access to the City’s Archives and Records for future generations.

The City of Vaughan Archives is the only public-facing service provided by Enterprise Information Management Services that manages and preserves government records of long-term value, as well as collect and preserve community records that document the City’s rich heritage. Established in 1988, the City’s Archives is home to more than 600 collections, consisting of both City and cultural records about Vaughan from 1703 to the present day. Records include, but are not limited to the following:

  • City business records with long-term legal and administrative value (i.e., Council minutes, by-laws, assessment rolls, financial records and reports)
  • business, church, community and school records
  • census records
  • historical photographs
  • land records
  • historical maps, plans and aerials
  • newspapers
  • personal papers of residents and families (i.e., diaries, family histories, journals and letters)
  • records of local organizations (past and present)

Much of the City’s collection is available online for everyone to enjoy through the City’s Archival Database. This accessible and keyword-searchable catalogue provides access to the City’s Archival Collection and various digital resources. Check back regularly for new content!
