Learn more about the duties of the Office of the City Clerk

 

The Office of the City Clerk has an important function at the City of Vaughan – have you ever wondered what duties they perform or services they provide? As part of a new series, the City is showcasing the vital work undertaken by this busy team. Next up: Council and Committee meetings. 

 

What is the Office of the City Clerk’s role in Council meetings?

Throughout the year, the City holds Council and Committee meetings to make decisions to move projects forward and hear from the public on various projects and initiatives. The Office of the City Clerk plays an important role in Council meetings, including:

 

  • creating meeting agendas with reports and items from City staff, members of the public and Council.
  • providing communications to Council in advance of the meetings.
  • scheduling meetings and providing support to the meeting Chair.
  • providing procedural advice and facilitating the conduct of the meetings.
  • taking and distributing minutes, including all resolutions, decisions, by-laws and other proceedings made at the meetings.

 

The monthly meeting cycle includes two Committee of the Whole Meetings, one Committee of the Whole (Public Meeting), one Committee of the Whole (Working Session), one Committee of the Whole (Closed Session) and one Council Meeting.

 

The Committee of the Whole (1) Meeting consists mostly of Planning and Growth Management items. The Committee of the Whole (2) Meeting focuses on other matters, including financial reports.

 

Aside from Closed Session, these meetings are open to the public – that means you are welcome to attend in-person in the Council Chamber or watch a live broadcast online at vaughan.ca/LiveCouncil.
