City of Vaughan
The City is here to help with everything from permits to facility rentals

With the Province of Ontario giving the green light to social gatherings and organized public events, you may be starting to plan future get-togethers in line with the Roadmap to Reopen. To help ensure it goes off without a hitch, the City of Vaughan has developed resources to guide you through the planning and application process – and they’re all available on the City’s website.

With information on everything from venue bookings and special event permits to FAQs and financial assistance, this webpage has details to help you execute a safe and successful event in a City facility (once they reopen), on City property or on private property.

To start, you will need to meet specific requirements and obtain approval from the City. It is recommended that a Special Event Permit Application (PDF) be submitted at least 15 days prior to the event in order to meet all planning timelines. For assistance with permits, please email bylaw@vaughan.ca or call 905-832-8500 and select the second option.

Additional forms and approvals may be required if your event has the following: amplified sound or noise; admission fees; alcohol; balloons or hot air balloons; buskers, street or fire performers; carnivals, dunk tanks or amusement park rides; fire or open flames; food; inflatables (additional $2 million liability insurance required); insurance; movies in the park; raffles, games of chance or ticket draws; refreshment vehicles; security; stages and tents and vendors. Applicants who plan to have fireworks must also obtain a permit from Vaughan Fire and Rescue Service.

If you plan on using a City-owned facility, please ensure the facility/venue and amenities have been booked and confirmed through Recreation Services at RecCSD@vaughan.ca before submitting your Special Event Permit Application. Hosting an event can feel overwhelming at times, but we’re here to help! Either email or call us at 905-832-8500 (select the second option) for help with next steps.
